How to Run a NetSuite User Report

A segregation of duties review is also called an analysis or an assessment. This page uses the terms interchangeably.

To run a NetSuite user report, go to Setup, then Users/Roles, then Manage Users. Leave the Role filter blank so every user and role shows. Click the Excel icon to export the list. Then check the list against the users you expect, and save a screenshot that shows the web address, the date and time, and the report. This takes a few steps and no special tools.

What does the NetSuite user report show?

It lists every user in your account, each user’s email address, and every role each person holds. A user with three roles gets three rows. Some people call it the user roles report, the user access report or the Manage Users report. They are the same list.

How do I run it, step by step?

1. Sign in to NetSuite with an account that can view users and roles. This is usually a system administrator account.

2. Go to Setup.

3. Select Users/Roles, then Manage Users.

4. Leave the Role filter blank. Every user and every role should show.

5. Click the Excel icon. NetSuite exports the list as an Excel workbook (.xlsx).

6. Check the count. Compare the number of users with the list your administrator or HR keeps. Look into any gap before you go on.

Your menus may use different labels. Follow the picture if they do.

What proof should I keep?

Take a screenshot while the report is still open. It must show three things: the NetSuite web address, the date and time on your computer, and the report itself. Paste it into a new tab named Evidence Screenshot in the Excel file. Do not crop or blur these three things. Auditors often ask where a report came from and when it was run.

How should I save the file?

Save it as CompanyName_NetSuite_Manage_Users_User_Role_Listing_YYYY-MM-DD.xlsx. Then check four things:

1. Every user has a name, an email and a role.

2. No filters are on.

3. The Evidence Screenshot tab shows the web address, the clock and the report.

4. The file opens in Excel.

What can I do with this report?

This report tells you who holds each role. It does not tell you what each role can do. For that you need the roles and permissions report, in the next post.

Frequently asked questions

Do I need an administrator account?

You need an account that can view users and roles. This is usually a system administrator account.

Can I use a saved search instead?

Some teams build a saved employee search for a similar list. Check that it shows every user and every assigned role, and check the steps with your NetSuite administrator before you rely on it.

Is this the same as a user access review?

No. A user access review asks whether each person’s access fits their job. The same report can feed both.
